Job Title: Personal Assistant

Location: Abuja
Employment Type: Full-time

Responsibilities

  • Act as first point of contact for the Executive Director, and manage their electronic communications, mail and incoming calls, ensuring that these are prioritised, drafting responses or delegating them where appropriate, whilst ensuring that appropriate deadlines are considered, and that appropriate action is taken.
  • Manage logistics for the Director including management of diary, travel planning and expenses, to ensure effective utilisation of the Director’s time and value for money.
  • Organise, prepare and attend meetings for which the Director has responsibility in a timely manner, ensuring that consideration is given to the most effective and efficient use of time and cost, producing accurate records as required. Produce accurate records and follow up actions of meetings as required; maintain and update action log for all meetings attended by the Director.
  • Take a proactive approach in order to ensure that the Director is fully prepared and briefed for all engagements, both internal and external
  • Supervise the day-to-day workload of the admin staff.
  • Maintain the Directors files, records and documentation in an organised and systematic basis, paper based and electronic, on a regular basis to ensure it is kept up to date
  • Review and summarise miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
  • Prioritise and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Implement arrangements to support the daily activities of the Director including travel arrangements, arranging functions and other professional activities supporting their work
  • Manage high level coordination between staff at all levels of the organization.
  • Ensure that all company and Board meetings are properly convened, constituted, conducted and recorded. Take necessary steps to ensure that all decisions made are communicated to the relevant parties and that actions are taken forward and implemented
  • Ensure that staff have the information and support they require to operate effectively.
  • Deal with and support other general administrative matters, as agreed
  • Collate and compose information from various sources, prepare documents, correspondence, papers and presentations with the highest degree of confidentiality, accurately and efficiently, to support the delivery of excellent service standards to internal and/or external clients
  • Deliver packages of work on behalf of the Director, Manage proposals from draft through to final distribution.
  • Develop and maintain the Director’s filing system (paper and electronic), to ensure that these are accurate and up to date.
  • Has a wide understanding of the company processes and procedures and is able to identify the Executive Director’s priorities and deal with issues in the most efficient way, making suggestions to the Executive Director for continuous improvement where required
  • Plan and coordinate events, arranging the logistics, developing the agenda and liaising with the presenters.
  • Events and marketing team support
  • Assisting at events and live sessions
  • Undertake any other tasks as requested by the Director.

Requirements

  • Candidates should possess a Bachelor’s Degree with 0 – 3 years work experience.
  • Excellent organisational skills with a strong focus on attention to detail and flawless execution
  • Time management skills: managing multiple tasks within short time frames and with minimal supervision
  • Strong written and oral communication skills
  • Existing proficiency in Microsoft Office software products including Internet, Outlook, Word, Excel and PowerPoint
  • Ability to multi-task and flexibility to re-prioritize in a changing and fast paced environment
  • Conduct self in a courteous, helpful and professional manner
  • Proven ability to maintain good working relationships with people internally and externally at all levels
  • Integrity
  • Strong team collaboration skills and spirit.
  • Can do attitude: identify opportunities to add value to the wider team.
  • Ability to work during evenings and at weekends.
  • Knowledge of French is an advantage.
  • Basic graphic design knowledge is also an advantage.

Salary
N50,000 – N80,000 monthly.
