We are recruiting to fill the position below:

Job Title: HR Operations Analyst

Location: Vom, Plateau
Employment Type: Full-time

Job Summary

  • We are seeking a highly organized and analytical HR Operations Analyst to join our HR team. In this role, you will be the backbone of our HR operations, ensuring accuracy in employee data, payroll support, and welfare administration.
  • You will be the primary point of contact for employee inquiries regarding policies and benefits, while also leveraging HRIS data to provide actionable insights to management.
  • The ideal candidate is a process-oriented professional who thrives on data accuracy, enjoys solving complex employee relations issues, and is comfortable managing the full employee lifecycle from onboarding to offboarding.

Key Responsibilities

General HR Knowledge & Policy Management:

  • Serve as a subject matter expert on company HR policies, labor laws, and compliance requirements.
  • Assist in the development, review, and implementation of HR policies and procedures to ensure legal compliance and operational efficiency.
  • Provide guidance to employees and managers on HR policies, benefits, and general inquiries.

Employee Data Management & Documentation:

  • Maintain and update employee records in the HRIS, ensuring 100% data accuracy and confidentiality.
  • Manage the document lifecycle for all employees, including contracts, amendments, performance reviews, and termination letters.
  • Conduct regular audits of employee files (digital and physical) to ensure compliance with audit and regulatory standards.
  • Generate standard and ad-hoc reports on headcount, turnover, and workforce demographics.

Payroll & Compensation Support:

  • Partner with the Payroll team to ensure timely and accurate processing of monthly payroll.
  • Validate inputs for payroll changes, including new hires, terminations, salary adjustments and overtime.
  • Escalate payroll discrepancies and resolve employee payroll inquiries.

Cash & Non-Cash Welfare Administration:

  • Overtime & Allowances: Calculate, verify, and process overtime pay, travel allowances, and shift differentials in compliance with labor laws.
  • Non-Cash Benefits: Administer welfare programs such as meal tickets/vouchers, gift cards, service awards, and recognition programs.
  • Leave Administration: Manage leave allowances, including maternity leave, paternity leave, sick leave, and annual leave.
  • Financial Welfare: Process reimbursements or allowances for education, transportation, or housing as per company policy.
  • Track benefit utilization and provide cost analysis to management.

Employee Support & Relations:

  • Act as the first point of contact for employees regarding operational HR issues (payroll, benefits, policies).
  • Escalate complex employee relations issues (grievances, conflicts, investigations) to the HR Business Partner.
  • Draft and issue HR-related letters (confirmation of employment, disciplinary actions, leave approvals).
  • Contribute to improving the employee experience through streamlined processes and better communication.

Onboarding & Offboarding:

  • Onboarding: Manage the pre-boarding and onboarding process, including offer letter generation, background checks, system setup, orientation scheduling, and first-day paperwork.
  • Offboarding: Conduct exit interviews, manage the separation process, process final pay, deactivate system access, and ensure return of company property.
  • Maintain a smooth, professional, and compliant transition for all employees entering or leaving the company.

HRIS & HR Analytics:

  • Act as the system administrator or power user for the HRIS (e.g.,Odoo, SAP etc).
  • Develop and maintain HR dashboards and metrics (time-to-hire, turnover rate, absenteeism, cost-per-hire).
  • Use data analysis to identify trends (e.g., high overtime costs, low benefit utilization) and recommend process improvements.

Qualifications and Skills

  • Bachelor’s Degree in Human Resources Management, Business Administration, or related field.
  • HRIS & Data Tools Proficiency: Strong experience with HRIS systems and advanced Excel/Google Sheets skills (VLOOKUP, Pivot Tables, formulas) are required.
  • Data Accuracy: Meticulous attention to detail with a commitment to data integrity and confidentiality.
  • Communication: Strong written and verbal communication skills; ability to explain complex policies to employees clearly.
  • Problem-Solving: Analytical mindset with the ability to identify process gaps and recommend solutions.
  • Strong organizational skills and interpersonal skills.
  • Ability to work effectively in a fast-paced environment and prioritize tasks efficiently.
