Executive Assistant to the Chief Internal Auditor

This is an administrative and supervisory position providing support and assistance to the Chief Internal Auditor and other staff to enhance their effectiveness at work in every area of the company’s business.

Activities:

  • Manage Chief Internal Auditor’s appointments by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Prioritize Chief Internal Auditor’s business and meetings commitments, knowing which meetings to accept, decline, defer etc based on an understanding of the urgency or importance of the meetings
  • Take notes and minutes at management meetings and distributed later to different units and officers for action and subsequent closures
  • Read and analyse incoming mail, documents and, reports to determine their significance and distribute them to appropriate officers of the company for action
  • Prepare and edit presentations, communications and, other documents for the MD after collating information from relevant units and departments
  • Follow up on contract and regulatory requirements initiated by management to ensure compliance and prepare regular progress reports.
  • Perform administrative and supervisory duties including coordinating office management activities
  • Liaise with relevant stakeholders, internal or external, on business requirements, collate replies and prepare summaries for the MD
  • Carry out research and analyse changes in regulatory and statutory matters that may affect the company’s business and report to the MD
  • Receive and interact with MD’s visitors and liaise with internal staff at all levels
  • Supervise, coach and train lower-level staff
  • Carry out procurement activities on MD’s instructions
  • Any other duties as may be assigned to you by your manager.

  • Documented CIA’s appointments for at least two weeks

Qualifications:

Electrical Engineer

  • Carry out maintenance on all electrical equipment and employs electrical tools to carry out the jobs
  • Solving major equipment problems and checking on all equipment.
  • Design and implement complex industrial, commercial, and domestic electrical systems.

Activities:

  • Designing, maintaining, implementing, or improving electrical instruments, facilities, components, equipment products, or systems for industrial, commercial, or domestic purposes.
  • Performing a wide range of engineering tasks by operating computer-assisted design or engineering software and equipment.
  • Conferring with customers, engineers, and others to discuss existing or potential engineering products or projects.
  • Ensuring that installation and operations conform to standards and customer requirements by preparing electrical systems specifications, technical drawings, or topographical maps.
  • Establishing construction, manufacturing, or installation standards or specifications by performing a wide range of detailed calculations.
  • Ensuring compliance with specifications, codes, or customer requirements by directing or coordinating installation, manufacturing, construction, maintenance, documentation, support, or testing activities.
  • Writing reports and compiling data regarding existing and potential electrical engineering projects and studies.
  • Preparing specifications for purchases of electrical equipment and materials.

  • Estimating material, labour, or construction costs for budget preparation.

Procurement Specialist

The job is responsible for oversight of all revenue-related purchasing and inventory management for all strategic business units in the hotel towards ensuring high quality, cost-effective, reliable and efficient procurement and distribution of supplies.

Activities

  • Develops and implement strategies and templates for procuring, storing, and distributing goods or services and maintaining stock levels
  • Establishes and implements robust company-wide purchasing procedures and policies
  • Track inventory, logistics and supply of goods
  • Maintains data on procurement cycles and utilises that knowledge for accurate procurement forecasting
  • Prepares detailed reports on inventory operations, stock levels, and adjustments to guide Management decision making
  • Inspects the levels of business supplies and materials to identify shortages.
  • Ensure product stock is adequate for all outlets and can cover direct demand from customers.
  • Conducts continuous improvement of the company’s procurement procedures, supply chain, and logistics management with a view to reducing costs
  • Maintains standardization with regard to quality and specification of purchases and supply
  • Analyzes different suppliers and supply sources to obtain the most cost-effective deals and timelines.
  • Develops procurement strategies that are inventive and cost-effective.
  • Manages the procurement budget and promotes a culture of saving on procurement costs through long-term procurement planning
  • Takes the lead in screening and reviewing bids and quotations and negotiating contracts, reviewing final contract language, supplier’s bills etc.
  • Approves purchase orders and organizes and confirms delivery of goods and services
  • Reviews purchase requests and ensures approval is in place for large spend items before discussions and negotiations commence
  • Manages the process of sourcing and engaging reliable suppliers and vendors.

Internal Auditor

  • To assist the senior members of the audit team in fulfilling all engagement responsibilities, including ensuring the efficiency, effectiveness and timeliness of all audit reports and standard processes.
  • To provide value-added and relevant analyses of an organization’s internal control structure, transaction information and analysis, performance, productivity, and efficiency.
  • To support the goals and objectives of BEDC Electricity Plc.

Activities

  • Rendering necessary operational support on all audit engagements.
  • Supporting in the preparation of the draft of the audit report.
  • Ensures compliance with established audit standards and control procedures by examining records, reports, operating practices, and documentation.
  • Reviewing records to ensure that they are accurate and complete according to company standards
  • Verify assets and liabilities, compare items to documentation, and complete audit work papers that document audit engagements and findings
  • Monitoring cash flow and identifying problems with cash flow to prevent problems from occurring in the future
  • Performing audits of financial records to ensure that they are accurate and comply with regulations
  • Communicate audit findings and prepare a final report; discuss findings with the audit engagement manager.
  • Identifying any errors in accounting practices or procedures and recommending solutions
